In Adversus, you can create two kinds of email templates - a simple and smart email. The simple email is raw text whereas the smart email is an HTML email template, where you can add your company's touch in the layout. This is how you create email templates.
Go to Messages in the menu on the left and choose Templates.
From Create template in the top right corner, choose either Smart email or Simple email.
NB: If you decide to create a Smart email you will be presented with the following templates you can select from. You are not able to edit a Smart Email template from the dialer.
In the top left, under Name your template give your email template an internal name.
On the right side of the email editor, you'll see the Details section. Here, you need to input:
Subject
From (name and email)
To (email/merge tag)
CC / BCC (not required)
You can use merge tags to customize the email based on the information you have about your leads and users. A good idea is to input the Lead's email merge tag in the To recipient field. You can also use merge tags directly in the email template, e.g., Hello [customer name].
If you want to attach a file to the email, go to Attachments in the menu on the right and add relevant files.
Under Settings, you have a couple of options such as General, Booking and Send Automatically and Tracking.
Under General, you can decide whether agents can edit the email before send-out through the dialer, and you can also add Tags to make the template easier to find.
If you are using the email for Booking purposes, you have the option to send an iCal file invitation, Smart Invite or Include a link to the booking.
a) Attach invitation (iCal file): ensures that the event is automatically added to the recipient's calendar program.
b) Smart Invite: enables the sender to track the recipient’s response to the attached iCal file directly within Adversus. You can see whether the recipient selects Yes, Maybe, or No, and use those responses to automatically trigger journeys. NB: Smart invite option is not visible/available for all clients. If you would like to add this feature to your account, please contact support. If you do have the feature, you will need to ensure the iCal file is attached by toggling on the Attach invitation (iCal file)
c) Include link to booking: Adds a link that directs you to the booking in Adversus - typically used when booking a meeting for a colleague/consultant who also has access to Adversus.
Here, you are also able to choose automated send-out rules, e.g., On success.
Tracking
a) Enable Click tracking: when toggled on, it allows you to track when a link is opened.
b) Enable Open tracking: when toggled on, it allows you to track whether an email has been opened.
NB: Enabling tracking can sometimes cause emails to be filtered into spam folders, depending on the recipient’s email settings. To improve deliverability and ensure your message reaches the inbox, you should disable tracking if it is not necessary.
Click Save in the top right corner when you are done.
If you want to test your email template before using it, click Test template in the top right corner.
NOTE: The Test template feature is primarily for checking the layout, and will NOT send bcc/cc emails.Input the ID of a test lead (just to have some data to fill merge tags with) and the email recipient of the test email.
After this, you will have created your email templates.
