To have access to the Warehouse and its actions you must either be an Admin user or permission to enter the relevant warehouse.
In all the different versions of the warehouse there are a number of actions you can take. These let you modify or manipulate the state of the leads, contacts, bookings, sales and so on of the relevant warehouse you are in. This article describes what actions are available in the different warehouses and what they are typically used for. Be aware that some actions may not be available if you do not have the relevant functions added to your account.
Note: The action runs on all the leads in the current view, so be sure you have filtered the view to only show leads you want to run the action on. You can also click the checkbox to the left of the line and that will make the action only run on the selected line.
Leads
Add to campaign
The add to campaign action lets you create a copy of the lead to another campaign. It does not delete the lead from the original campaign, so if you use this action the lead will remain in the current campaign and a copy of the lead will be created on the selected campaign.
Delete leads
This quite simply lets you delete the leads in the view. It only deletes the leads themselves, the underlying customer data is stored on the contact, and it is not deleted through this action. If you want to delete the contact fully you should use the Delete contact action in Warehouse -> Contacts. When you click the delete leads button you get a warning about how many leads you are about to delete.
Update segment
This action lets you update the segment of the selected leads.
If you have segments set up on your campaigns you can use this action to move leads into specific segments. It can be useful for manually filling up your campaign segments with relevant leads.
This action ties into the segmentation on campaigns, so it is only available after you filter on a single campaign that has User or Manual segmentations set up.
Add to quicklist
With quicklists your users can create lists of leads that they consider highest priority and ensure that those leads are called first. This requires the Quicklist permission. This action then lets them place the leads into their quicklist.
Note: Quicklists are individual, so each agent must make their own quicklist and populate it with leads.
Fast track leads
With this action you can make automatic redials callable immediately. This does not affect VIP callbacks, Private callbacks, or shared callbacks. Its function is to make Automatic redials available to call immediately, so that it ignores whatever waiting period is set in the campaign settings this one time.
Delete recordings
If you have your campaigns set up to record conversations with the leads you can use this action to delete the recordings of those conversations. The recordings already have a limited storage time based on the settings chosen in the campaign settings, but this lets you delete them before their expiration date.
Clean up invalid leads
This action lets you run a check on the leads against the regional number plans and the blocklisted numbers. It is recommended that you are quite careful before using this action as it can cause issues if you don't have the phone numbers correctly or uniformly formatted.
Assign as callback
With assign callback you can easily assign leads to be callbacks. You can select the callback type, to make it a shared callback anyone can call on, or a private callback you assign to a specific agent. By assigning leads as callbacks they get prioritized over unprocessed and Automatic redials so its a good way of ensuring some high priority leads are called quickly.
Anonymize contacts
This action is designed to let you anonymize contacts, this can help you comply with GDPR or other data removal requests. It lets you remove the customer sensitive data without losing data about your activities on the lead. You select the fields you want to anonymize so you can overwrite as much or as little data as is relevant to you. You can decide how to anonymize the data, so you can choose to write a reason for the anonymization as you anonymize the data.
Start journey
With this journey you can activate any Manual - Leads Journeys you have made. You select the journey you made and then you can check or uncheck the Always execute button based on if you want the journey to run on leads it has previously been run on.
When you click Start you get a confirmation window that shows you how many leads the journey is about to be run on.
Bookings
Change booking status
This action lets you change the status of the bookings in the view, its highly recommended that you filter carefully before using this action.
You can select the following statusses: "None", "Held", "Cancelled", "Cancelled, but preserved in external calendar".
They are mostly self explanatory but its worth mentioning None is the status of a meeting waiting to be held, and for the cancelled statusses they cancel or don't cancel the event in the consultant's calendar based on which one is chosen.
Delete booking
This action lets you completely delete a booking, it also deletes the event in the consultant's calenda. Be aware that this cannot and does not delete a booking made in the lead's calendar through emails with an iCal file as we have no way to sync with their calendar.
Sales
Change status
This action lets you change the status of a sale directly in the warehouse. Be sure you only select the specific sales you want to change the status of. You can change the status to any of the sales statusses: Created, In progress, Success, Cancelled, Approved, and Rejected.
Change ownership
The change ownership action lets you change which user has ownership over the sales. Be sure you only select the specific sales you want to change the ownership of.
Contacts
Add to campaign
This creates a lead from the contact data on the selected campaign. Its one of the easiest way to make your contact into a callable lead on a specific campaign. Be aware that if a lead already exist on the campaign based on the same contact, it will not create a duplicate lead. So you can only create leads on campaigns that don't already have a lead based on that contact already.
You can select availability hours if you have specific timeslots created in Settings -> Account -> Timeslots. And if you have segment created on the campaign you can choose what segment to add the lead to as well.
Delete contacts
This action lets you fully delete a contact from your system. It deletes all the contact data, as well as deletes all leads attached to the contact. Be very careful about making sure you have filtered the view correctly so you don't delete contacts you wish to retain.
Blocklist contact numbers
This action allows you to blocklist all the contact numbers in the view. Be aware that the numbers to get blocklisted are the numbers from the fields on the contacts marked as Phone number.
Remove leads with unreachable phone numbers
This action makes the system go through the phone numbers on the leads, and if the phone number is not valid, or 3 calls have been made to the number that all failed then the leads attached to the contact will be deleted.
You can also choose what happens to the contact after the leads are deleted, such as deactivating the contacts without any active leads or valid phone numbers.

Calls

Download Recordings
This action is very self explanatory as it lets you download the recordings of the calls in the view. You can bulk download up to 200 recordings at a time.
Transcribe recording
If you have the AI transcription feature added to your account you can use this action to create transcripts of the recordings you haven't already had transcribed. This transcription can then be used in the quality assistance.
Activities
Warehouse Activities doesn't have any actions as it is primarily about the activity done by the users of the system and not about the leads.
Quality Assistance
Warehouse Quality Assistance also doesn't have any direct actions as Quality assistance is handled through Leads -> Quality assistance.
