When setting up your campaigns its important to adjust the settings to fit the needs of that specific campaign. It you already have a campaign with the settings you want you can Copy the settings from one campaign to another, or even clone a campaign by clicking the three dots in the Campaign settings overview and selecting Clone.
But from time to time it will be relevant to adjust your campaigns and when that is needed this article will help guide you through everything you can change in the campaign settings.
Note: This article goes over all the campaign settings in the Settings tab, we have other articles about the other tabs in the campaign settings.
The settings tab of the campaign settings deal with most of the day to day settings. It is here you set up the settings you need on all campaigns, where most other tabs might be situational the settings in the settings tab are always relevant.
General
Name
This is where you can change the name of your campaign, the name doesn't do anything other than let your users identify it.
Tags
Here you can add tags to your campaign, the tags will show in the overview of campaigns. It can be useful for letting your agent's quickly identify which campaigns are connected if you have multiple campaigns connected to specific clients or projects.
Show in Overview
This checkbox is what decides if the campaign shows in the campaign overview. For campaigns that are actively being called on you will want this checkbox checked. There might be times where you want to remove a campaign from the overview without fully deleting it, in those cases you can remove the checkmark and the campaign will no longer be visible in the Dialer overview. It will only be visible in Settings -> Campaign when the checkmark is removed.
Allow users to create leads manually
By activating this setting users will be able to click the 3 dots to the right of the campaign name in the dialer overview to create a new blank lead on the campaign. This can be useful if you sometimes needs to create a lead from scratch instead of importing it.
Display as default view in Dialer
Here you select what you want the agent's to see when they open the campaign in the dialer. As default it shows the Lead data view, that displays all the lead fields as selected in Fields tab (we go into details about the fields further into the article), but if you have created a iframe, or connected a manuscript you can also make those appear as the first thing the agent sees when they open the dialer.
Phone
Dialer Method
The dialer method you choose is how you want agents to be working on the campaign. So here we will describe the different dialer modes and how they are best utilized.
Manual
Manual dialer mode is the most basic of dialer modes. When you open the dialer on a campaign with Manual dialer mode enabled the lead will be presented to the agent. The agent can then review the lead information as needed and click the dial button in the top left when they are ready to call.
After the call is over, no matter if the call connected with the lead or not the agent can input the correct status and click save, or click Answering machine (aut. callback) if they did not reach the lead.
Progressive
With the Progressive dialer mode a lot of the dialing process is streamlined, the dialer will automatically start calling when the agent enters the campaign, and if the lead doesn't pick up the phone the system will automatically register the lead as Automatic callback and initiate the next call. If the lead does pick up the phone the agent has all the time they need to finish registering what is needed on the lead. When they save the lead, or click Answering machine (aut. callback), the system rings the next lead.
When choosing Progressive dialing you also get a few extra options.
Maximum ring time (seconds)
This decides how long a lead should be dialed before moving on to the next lead and marking it Answering machine (aut. callback).
Stop progressive call on invalid call attempt
This lets you stop the dialing if an invalid number is called so the agent can mark it as is appropriate for your workflow.
Activate countdown
This lets you set a countdown between each call to give the agent a bit of time to get ready for the call. You decide how many seconds the countdown is, and it is shown on the dial button in the top left.
Disable progressive dialing method on callbacks
Here you can decide if different types of callbacks should be included in the progressive dialing. This can be useful if you want your agents to spend more time preparing before dialing their Private callbacks for example.
Predictive
Predictive dialing lets the system dial leads continually in the background, and only present them to the agent when the lead picks up the phone. This is great for high volume calling, but also requires 5+ agents to be active on the campaign to function properly. We have a full help article about the setup of the predictive dialer mode here: Configure predictive dialing
Inbound
Choosing the inbound dialer mode turns your campaign into an entirely inbound focused campaign. Agents actively working on this campaign do not call outbound, instead they sit ready to take inbound calls. Its important to correctly configure the inbound settings to ensure they receive the calls they should. Be aware that if your agent's are working on other campaigns and actively calling outbound then this campaign doesn't do anything. It only affects users actively working on the campaign. So setting up an inbound campaign does not configure your general inbound settings. For more information about how to set up your inbound calls check out our article on how to set up inbound on your phone numbers.
Country Code
When you set a country code in the settings you tell the system what country code you intend to be calling on this campaign. The system then checks the lead phone number and if they don't already have the country code, the system adds the country code to the number.
This can be useful if you don't have the country code added to the lead phone numbers in your lead data.
Outbound number
The Outbound number is the number the system will display to the lead when making the call. You can choose any of the numbers you have available in Adversus, if you have created number pools you can select those as well to rotate the number you call from automatically.
It is also possible to call from a hidden number, or call from The user's number. If you set it to The user's number, the dialer will use the number attached to the specific user's account as long as it is verified. If the user does not have a verified number the call will be made from a hidden number. If you choose to display a hidden number, you must still select an Adversus number the calls should be billed to.
Enable call transfers
This setting turns on or off the ability for the agents to transfer the call. The transfer's themselves are set up in the Call forwarding tab of the campaign settings and we will go into that further down this article.
Inbound
The inbound settings decide how inbound calls are handled for agent's active on the campaign.
Inbound ringtone
This decides if the agent hears an inbound ringtone when they are available to receive an inbound call and a call comes in. This ringtone does not play if the agent is active in another call to avoid distracting them during calls.
Use in create lead mode
If you have activated the option to create leads on the campaign you can turn on this setting in order to allow inbound calls to be given to users who sit available on created leads.
Number for inbound calls
This is the setting that effective turns on all the rest of the inbound settings. If no number is selected here none of the other inbound settings do anything. When you select a number for inbound calls here, it makes it so that any agent active on the campaign are able to take the inbound calls coming to the selected number.
Number for call forwarding
If no agent's are available to pick up the inbound call the call is forwarded to the number selected here. This number can be an external number with no connection to Adversus.
Max waiting time in queue
The number written here is the amount of seconds the inbound call is allowed to wait on an agent to become available to take the call before the call is forwarded to the number selected above.
Recording settings
If you set up an inbound number on the campaign then the recording settings are also set here, but to avoid repeating ourselves we explain the recording settings in the Recordings section just below here.
When should calls be answered
If the campaign is using Predictive dialer mode, then you can decide here if the call should be automatically answered when it comes in, or if the agent has to select the lead and click the pick up button themselves.
Upload welcome message
Here you can upload audiofiles to be played when a call comes in, and if there are no active agents on the campaign.
Note: The welcome message plays in its entirety before the lead is made available to the agents as an inbound call. So keep the welcome message short, if you upload a long audiofile then the caller has to sit through the entire audiofile before any of the agents can see the call.
Recordings
The settings here decide when and how calls are recorded, if you have inbound setup on your campaign the same settings are available and should be set in the inbound settings.
Record conversations
Here you decide when a conversation is recorded.
Never
With this selected you never record any conversations on the campaign.
Always
You record all conversations from start to finish on the campaign.
If permitted - Record from Start
This adds a small button to the dialer where you can confirm consent to allow for a recording to be made. The recording is made from the start of the call, so when the consent is given a recording of the whole conversation is saved.
If permitted - No recording from start
This adds a small button to the dialer where you can confirm consent to allow for a recording to be made. The recording only starts when you click the button, so nothing from before consent is given is recorded.
Store recordings
Here you select for how long the recordings should be saved, you can choose between 30, 90, 180, 365, and 345 days. At the end of the duration the recording is deleted and cannot be retrieved. The length of time the recording is saved is decided by what the setting was when the recording was made. So if a call was recorded when the setting was to only store the recording for 30 days, you can not keep that recording stored longer by changing this setting to a longer duration.
Recording channels
Here you decide what audio channels you want to record. You can choose between recording both the audio from the agent and the lead, or recording only the audio of your agent.
Transcriptions
Transcriptions are a setting that only appear if you have the AI transcription add on to your subscription. This is a paid add on, reach out to support if you are interested in hearing more about it.
Transcription settings
The rules for what conversations should be transcribed is decided in Settings -> Account -> Transcription settings. That is where you set the rules for what qualifies a call to be transcribed and give those rules a name, so that you can have different rules for different campaigns or projects. When you have created the rules you can pick what rules should apply to calls on this campaign.
Delete transcriptions after a period
By selecting this option you can make it so transcriptions are deleted after a set time.
Store transcriptions (days)
If Delete transcriptions after a period is turned on this is where you decide how many days the transcriptions should be stored before they are deleted.
Call
Standard Callback type
When you select standard callback type, it decides which type of callback is automatically selected when you are in the dialer and select the callback option from the dropdown. You can select either private callback to make the standard callback be specific to the agent who made the call, or shared callback to make it so that other agent's can be presented the callback as well.
No matter which you pick as the standard callback type it is possible to manually select the other callback type in the dialer by checking or removing the check in Private callback.
Callback by no later than X days
Here you decide how far into the future you want it to be possible to schedule Shared and Private callbacks with leads. If you want to make sure callbacks are scheduled while leads still remember the initial conversation it can be a good idea to restrict how far out its possible to schedule callbacks.
Hours between automatic callback
Automatic callbacks, which is what leads are saved as when you click the Answering machine (Aut. callback) button in the dialer, are unable to be called again for a set period of time to avoid rapidly calling the same lead again and again when they don't answer. Here you decide how many hours you want to pass between unanswered calls to the same number.
The automatic callbacks are not prioritized after the specified amount of time, they just become callable again and go back into the normal call list to be called when it lines up with the lead order makes it available.
Aut. or shared callback - close on contact attempt X
This setting lets you set how many times you want to call a lead before you consider it spent.
When you save a lead as Automatic callback (by clicking the answering machine button) or with the shared callback status, the system checks how many contact attempts there has been to the lead.
When the amount of contact attempts made to the lead being saved as an automatic callback or shared callback matches the value decided here, then the lead will no longer be callable on the campaign, and wont be presented to anyone in the dialer.
VIP or private callbacks - close on contact attempt X
This setting lets you set how many times you want to call a lead you have saved as a VIP callback or private callback before you consider it spent.
When you save a lead as VIP or Private callback status, the system checks how many contact attempts there has been to the lead.
When the amount of contact attempts made to the lead being saved as a VIP or Private callback matches the value decided here, then the lead will no longer be callable on the campaign, and wont be presented to anyone in the dialer.
You will usually want this to be set to a higher value than the similar setting for Automatic and shared callbacks as Private and VIP callbacks are usually considered more promising leads.
Aut. or shared callback - max. contact attempt reached
Here you can decide to automatically change the status of Automatic and shared callback leads when they reach the max contact attempts as specified in the Aut. or shared callback - close on contact attempt X setting.
You can choose no action, where they remain the status they were saved as, but remain cannot be called. Or you can change their status to Not interested, invalid, or unqualified. This can be helpful to keep track of how many leads are still open and relevant on a campaign.
Call attempts - invalid number
Sometimes the dialer will detect a number is invalid, such as if the number doesn't exist, or is formatted incorrectly. In such cases you can decide here how many times you wish to attempt to call a number that has been tagged by the system as invalid.
Invalid number - Max. call attempts reached
Here you decide how you want to save leads that has reached the maximum amount of call attempts to invalid numbers as specified by the above option.
You can choose no action, where they remain the status they were saved as, but remain cannot be called. Or you can change their status to Not interested, invalid, or unqualified.
Leads
Default contact pool
When you upload new leads directly to a campaign the underlying contacts still needs to be created in the system. The Default contact pool, is where the contacts are created when you upload leads to the campaign. Understanding where you create your contacts can help you keep better track of your data and ensure you don't run into issues with future uploads and duplicate checks.
If you are unsure about the difference between Leads and Contacts you can read this article for a thorough explanation.
Private callbacks expire
When your agents create private callbacks for themselves they designate a time for that private callback to take place. This setting lets you decide that if the lead is not called at the specified time, the private callback should be made available as a shared callback. When this is selected the Expiration in minutes setting is made available, where you decide how many minutes past the agreed upon callback time is okay before it should be turned into a shared callback.
Leads expire
This setting lets you set expiration dates on leads, this can be useful if you have a high throughput of leads where you don't want to bother with older leads too much. When selected the Expire after (days) setting is made available, this lets you set that when a lead has not been contacted for the set amount of days the lead should expire.
Time zone
You can set the local timezone for the campaign here, and it applies to all the leads on the campaign. This is mostly relevant if you work in multiple timezones and want to ensure that any timeslot settings you have set up on leads are correctly interpreted on the campaign.
Timeslot settings
Here you can decide if the timeslot information should be available to view and edit, only view, or be completely hidden for the agents on the campaign. The 3 choices are: Show and allow editing, Show but disable editing, and Hide.
Recording snippets
Recording snippets are short bits of recorded conversation, its usually used to create a short audio confirmation of a sale or booking. Some region require audio confirmation for sales made over the phone. This is only available if the Recording snippet feature has been added to your account, its a free feature so please contact support if this is a feature you require.
Enable snippet recording, for this campaign
This quite simply turns on the ability to use recording snippets on the campaign.
Require recording snippets on succes
For regions where audio snippets are required for phone sales to be valid it can be a good idea to turn on this feature so that agents don't accidentally save a success without getting the snippet recorded.
Store recording snippets (days)
Here you decide for how long the recording should be stored in the system.
Visibility and permissions
Project
If you use projects for your reporting and insights you can designate what project the campaign belongs to here. For information about setting up a new projects you can read this article.
Team permissions
The Team permissions control who has access to the campaign. So that means agents that should be able to call on the campaign need to be in one of the teams with permissions to the campaign. Adding the relevant calendar users to a team with permissions to the campaign also makes it easier to set up what calendars it should be possible to book meetings into.
External campaigns in activity log
This decides what it shown from other campaigns on the lead. So if the lead has been moved between campaigns this is where you decide if the information from the other campaigns should be displayed.
