To access these settings you either need to be on an Admin user, or have the campaign administration permission.
This article will go through all the different booking settings there is to set up on a campaign, before setting up the booking settings here, it is important that you have one or more calendar users set up already. Without a calendar user set up with their calendar connected to Adversus there is nowhere to book the meetings and these settings have no function.
To set up a calendar user you can read these articles:
Booking settings
The campaign settings we go through here will refer to "The consultant" and "the contact" a few times. The consultant here is the calendar user's whose calendar the meeting is being booked in. The contact is the lead whom you have gotten to agree to take a meeting with the consultant.
Event headline
The event headline is where you write what the event should be called in the consultant's calendar. By using mergetags as you can find below you can include extra information about the specific lead the booking is with, such as including the company name of the lead.
Event description for the consultant
In the event descriptions you can write a descriptions of the event for your consultant. You can also use mergetags here create a description that includes the relevant information.
It is recommended that you include all the information your consultant needs to be effective in the interview in the event description if possible.
Event description for the contact.
Where the previous event description was only for the consultant, this description is only for the contact. So its important that you only include things here the lead should be told, try to avoid including superfluous details or any internal company information the lead doesn't need to know.
For this information to make it into the contact's calendar you need to include an iCal-file in the confirmation email sent to the client. You can read more about how to set up the email template to include the iCal-file by reading this article.
Event location
This lets you add a location to the event, both the consultant's integrated calendar, and the event created by iCal-file in the contact's calendar. You can use mergetags here as well, if you have changing meeting locations, or meet at the client's address this might be relevant to you.
Show meeting consultant
This is where you decide what Calendar users should be available in to book meetings to in the campaign. It is extremely important to make sure you have all your relevant calendar users included so you don't end up with any consultants who don't get any meetings in their calendar.
There are 3 different ways of selecting what calendar users should be available.
Specific consultants
This opens the Select meeting consultants field that lets you pick from a list of all your consultants, and you simply select the consultants who should be available. The ease of setup and easy overview of who is available is the advantage of this option. The disadvantage is that if you later get new consultants you will need to enter every campaign you want them to be available on and manually add them to each campaign.
Based on match values
This works in conjunction with the Match Values part of the calendar user settings. If you go to Users and click in on the calendar user you can find the Match Values under the booking settings.
By setting a match value in the user settings and selecting Based on match value in the Campaign booking settings you make it so that the calendar only becomes available to book in if the match value matches with the value registered on the lead.
So for example if you have a consultant that is geographically limited to leads within a certain area you can use a zip code match value to ensure his calendar is only available to book in when the lead is in one of the relevant zip codes.
Based on matching teams
This option looks at what teams has been selected to have access to the campaign in the Campaign settings -> Visibility and permissions and makes the calendar users in those teams available to book.
The big advantage of this is that if you create a team with all your relevant calendar users you can easily just add that team to the relevant campaigns. If you get a new calendar user who needs to be available you simply add them to the team and they automatically become available to book in all campaign the team is available on.
You can also set it up so that you have a team that includes all agents and calendar users that handles the campaigns for this specific client, and then simply add that team to every new campaign you open for the client.
The downside to this is that it can be harder to tell at a glance what calendar users are available on the campaign because you need to go and check in Users -> Teams, rather than checking the booking settings.
Close meeting automatically
Checking this option brings up the Set number of days after event date field, here you can choose that the meeting status should automatically be changed to Held after the chosen amount of days. This can be useful if your calendar users don't use Adversus much, as it gets the bookings registered as held without needing the calendar users to go in and register it in the system.
Booking buffer
The booking buffer setting lets you decide how long buffer time there should be between the end of one meeting and the beginning of another. For example if you expect your consultants to need 30 minutes to finish any post meeting work and prepare for the next meeting you can set the booking buffer to 30 minutes. That way there will be at least 30 minutes between the ending of one meeting and the beginning of the next. You can set the booking buffer to be any multiple of 15 minutes.
Booking mode
The booking mode decides how you book the meetings, there are 2 different options.
Standard
Standard is quite simply that you choose which calendar user you want to book the meeting to and then you find a free spot in their calendar and book it. As the name states: Standard.
Round robin
Round robin bookings basically combines all the calendar users calendar's into one and distributes the meetings booked to the different calendar users based on availability and tries to keep the distribution between different calendar users even.
We have a deep dive on how the Round robin system works in this article.
Show event details in tooltip
Turning this setting on adds a small tooltip to the booking calendar in the dialer where you can see the summary, description and location of an event when you hover over it.
Show external event details in calendar
This is where you decide when you open the calendar in the dialer to book a meeting how much information should be shown about external events already booked into the calendar user's calendar. You can select between just showing the summary, the description of the event, or the location for the event.
